For as great as these benefits are, there are several common traps we want to avoid, particularly when the common way to “process map” is to write down an existing process, as it is and possibly always has been, without a look at how that process suits the business as it grows.  

As your business grows, the point is not to have any process documented, but the one that best serves your business, provides the most predictability and consistency, and one that adapts to technology and available skillsets.

Now that we’ve clarified what process mapping is and the benefits of business process optimization, let’s take you through that step-by-step guide to effective process mapping using the ePOP Method.

The ePOP method, or the End-Point Optimization Process, is a 7-step process that focuses on optimizing and mapping out business processes. The main goal of ePOP is to create a streamlined and efficient process that leads to improved outcomes and success measurements. 

But rather than just throw a current process on the table starting with the steps you’re already doing, ePOP emphasizes the end goal plus the most optimal steps to reach it.  

The steps involved in ePOP include mapping the start, end, and milestones of the process, determining the actions to be taken, setting the timeline, assigning roles and resources, and measuring key performance indicators. 

By implementing ePOP, businesses can optimize their processes, automate data collection, outsource tasks, and improve training and communication. This method not only helps in achieving business goals but also influences change management and aligning staff resourcing and org charts for maximum efficiency.


How to Use the ePOP Method


Step 1: Define Your Goal

The first step in effective process mapping is to define your goal for the particular process you want to optimize. What is the outcome you want to achieve through this process? 

This could be increasing revenue, improving customer satisfaction, or streamlining operations. By clearly defining your goal, you can align your process mapping efforts and ensure that all steps are geared towards achieving this objective.

You may be tempted to here to start mapping what you do currently but remember, the point is business process optimization.  If you aren't yet sure you have a data-tested process that will result with predictability to reach your goal, you aren't there yet.

Instead, start with your hypothesis, add in the desired steps that you think would improve on results and go from there.

Step 5: Set a Realistic Timeline

Set a realistic timeline for each step of your process. Consider the time required to complete each action and the dependencies between tasks. A well-defined timeline helps you manage expectations and ensures that tasks are completed in a timely manner.

Consider a sales follow up process for example.  Do you want to check in every 24 hours, once a week or after 6-8 weeks?  Set a timeline for best practices, even if you aren't meeting those standards today.

If set up correctly and optimized, your processes will not need regular overhauls.  But they do need monitoring, especially as your business grows, new technology comes into play, or the subject matter expertise and skillsets shift.
